A WhatsApp conversation in the inbox, tagged Interested. The header shows the recorded consent: Nina shared her number in a LinkedIn reply. Priya’s message has blue ticks, Nina replies quoting it and sends a voice note with its transcript, and the reply box offers the booking link.

WhatsApp gets answers. It also restricts numbers fast.

People read WhatsApp. But WhatsApp doesn’t publish a daily limit: it watches the chats you start that get no reply, and the people who block or report you. A fresh number can be restricted after two or three new chats. And the conversation lives on one phone, so the rest of the team never sees it.

Reach WhatsApp through a conversation, not around it.

The pattern that works and stays allowed: start on LinkedIn, and move to WhatsApp when the lead asks you to. The “LinkedIn first, WhatsApp through the conversation” template sets it up.

  • The sequence runs on LinkedIn and stops the moment the lead replies, as every sequence does.
  • When they share a number, that reply is the consent. Record it on the lead with the thread as evidence, and carry on on WhatsApp.
  • A Switch channel step only moves a lead to WhatsApp when there’s a verified number, a free WhatsApp sender in the pool and a recorded consent. Otherwise the lead takes the “unavailable” path instead of failing.
How sequences work
One lead’s timeline: a LinkedIn invite and message, then Nina replies on LinkedIn and shares her WhatsApp number. Priya records that reply as the consent, with the thread as evidence, and the conversation carries on on WhatsApp, where Nina books a call.

Follow up with people who opted in, from one template.

For leads who already agreed: a form opt-in, an existing customer, a number shared in a conversation. The “WhatsApp follow-up for consented leads” template checks the consent and the number before a single message goes out.

  • Check consent continues only with leads who have a recorded basis. You pick which bases count.
  • Check the number confirms it’s on WhatsApp without starting a chat. Numbers that aren’t are marked, skipped, and don’t use the day’s allowance.
  • One message, three days, one follow-up. A reply ends it and the inbox takes over.
The WhatsApp follow-up for consented leads template: check consent, check the number is on WhatsApp, send a first message, wait 3 days, send one follow-up. Leads with no consent or a number not on WhatsApp finish without being contacted.

Every WhatsApp chat in the same inbox as LinkedIn and email.

WhatsApp conversations sit in the one list with everything else, laid out like WhatsApp itself. Tag them, assign them and reply from the team, not from one person’s phone.

  • It works like WhatsApp: ticks, quoted replies, reactions, forwarding, photos and files. Voice notes play in the thread with a transcript underneath.
  • Edit a message for 15 minutes, delete it for everyone for 2 days. Opening a chat marks it read on the phone too.
  • A reply on WhatsApp stops that lead on every channel, and it’s tagged by intent like any other reply. Group chats show under the group’s name and never become leads.

One inbox with WhatsApp, LinkedIn and email conversations in the same list, the channel shown on each row, every reply tagged by intent and the sender it came through. The Channel filter narrows it to WhatsApp in one click.

New chats are earned by replies, not by time.

A WhatsApp number starts at 2 new chats a day and climbs to 35 only while people keep answering. That is exactly what WhatsApp watches, so it’s what we measure.

  • Levels follow the reply rate over the last 14 days: 40% to reach levels 1 and 2, 45% for level 3, 50% for level 4.
  • A number drops a level straight away if its reply rate falls under 25%, someone blocks it, or it’s logged out within 24 hours of sending.
  • Messages go out 20 to 90 seconds apart, in the owner’s working hours. You can set a lower cap, never a higher one.

A WhatsApp sender’s new-conversation card: level 2 of 4, 7 of 10 new chats used today. Level 3 allows 20 a day and needs a 45% reply rate over 50 new chats; the sender is at 47% over 31. A reply rate under 25%, a block or a logout within 24 hours of sending drops a level straight away.

Link a number with a QR code. It waits a day before reaching out.

The number’s owner scans a code on a secure page, from WhatsApp → Linked devices. Nothing is shared beyond the link, and the phone stays in their hands.

  • You confirm the number is at least 6 months old with real conversations. It’s recorded with your name and the date, on the number’s page.
  • Every connect and reconnect starts a 24-hour quiet period. Replies still go out, and people who write in aren’t held back.
  • “Why isn’t this sending?” gives the exact reason in plain words: the quiet period, a missing consent, or the day’s new chats used up.
A WhatsApp sender just connected by QR code. Outreach starts in 17 hours, replies still go out. The number is confirmed as 26 months old by Daniel on 28 Sep. “Why isn’t this sending?” answers in plain words: the 24-hour quiet period after connecting.
The detail that matters

No consent, no first message. A WhatsApp chat only starts with someone who has a recorded reason to hear from you.

The check runs when the message is planned and again when it’s sent. Replies to people who write in are always allowed, and a “stop” withdraws consent and removes the number from every WhatsApp sequence at once.

WhatsApp questions

Can I send cold messages on WhatsApp?

No. A sequence can only start a WhatsApp chat with someone who has a recorded reason to hear from you: they messaged you first, opted in on a form, are an existing customer, or shared their number in a conversation. The check runs when the message is planned and again when it’s sent. Replies to people who write in are always allowed.

Is this the WhatsApp Business API?

No. You link a number you already use as a linked device, by scanning a QR code from WhatsApp → Linked devices on the phone. There are no message templates to get approved. GrowthxAI Outreach is not affiliated with WhatsApp or Meta.

Why does the number have to be 6 months old?

Fresh numbers are often restricted after only two or three new chats. You confirm the number has been in real use for at least 6 months when you connect it, and that’s recorded with your name and the date. Without it the number stays at 2 new chats a day.

How many new chats can a number start a day?

2 at first, then 5, 10, 20 and 35 as the number earns them with replies: a 40% reply rate or better to reach levels 1 and 2, 45% for level 3 and 50% for level 4. Messages in chats that already exist are capped at 100 a day, and replies from the inbox don’t count at all.

What happens when someone replies “stop”?

Their consent is withdrawn, their number is suppressed, and they leave every WhatsApp sequence in the workspace. A reply of any kind, on any channel, also stops every sequence they’re in.

Can I connect a colleague’s or a client’s number?

Yes. Click Copy sign-in link and send it to the number’s owner. They scan the QR code with the phone that has the number, so it never leaves their hands. The link expires after 15 minutes.

Will the number get restricted?

No tool can promise that, and the number’s owner carries the risk. What we do: only start chats with people who agreed, check every number is on WhatsApp first, wait 24 hours after each connect, space messages 20 to 90 seconds apart, and drop a level the moment the reply rate slips or someone blocks the number.
